Event Memo

This assignment was to write a memo about three fictional venues in Kansas City.

SUBJECT: Halloween Company Event Venue.

Cassandra,

I have finished researching venues for the Halloween party this year. I’ve narrowed it down to three and have given my thoughts for your consideration and approval.

Wilshire Manor Banquet Hall

The total cost for this venue would be $15,000 on a weeknight, $17,200 for a weekend, and $19,400 for Halloween night. The food is buffet-style with hors d’oeuvres and a cash bar. This venue is the least expensive of the three, but it may not be the best option for our event.

The venue is in Johnson County, 15 minutes from the office. This is not as ideal as the other locations, which are both in Kansas City. The venue also isn’t in the best shape with only a three out of five-star rating,

“There is nothing spectacular about this place. It looks sad on the outside and the inside isn’t much better,” one reviewer said.

Sunrise Oasis

This venue, with their full catering and bar service, costs $21,600 on a non-Halloween evening. For Halloween night it is $32,600. This not only includes buffet style hot food with hors d’oeuvres, and a cash bar, but also a dessert bar.

It is located 3 blocks from the Country Club Plaza, so we have a premiere in Kansas City location to entertain our out-of-town guests. Parking is in an attached garage; attendees would pay for their own parking. The reviews are glowing as well, with a 4.5 out of five-star rating.

“Great place for a party! It was super clean and comfortable – big enough for our group (250+ people),” one reviewer said.

Mahogany Executive Center in the Plaza Hotel

The total cost for the event at this venue would be $24,000 for a non-Halloween evening and $32,800 for Halloween evening. This total includes a food buffet and a dessert bar. There is a cash bar, and the attendees would have to pay for their own parking.

This venue is in Power and Light with a parking garage attached. This venue is the closest to our office and allows our out-of-town clients to stay in the hotel overnight. Power and Light is another premiere spot in Kansas City, it allows for the most amount of people to enjoy

themselves. The location allows for less driving and therefore our employees will be able to enjoy themselves more without the worry of driving long distances.

The reviews are good as well, with a four out of five-star rating. However, most reviewers complained about the food and parking.

“The options for special diets were incredibly limited, like they made one bland entrée,” one reviewer said. “Only one sad dessert that fit all of those categories too.”

If I were to pick the venue I would go with the Sunrise Oasis on a non-Halloween day. Halloween falls on a Thursday this year so having the party the weekend before would go over better for the attendees. Sunrise Oasis on a non-Halloween day is less expensive than the Mahogany Executive Center and has better reviews. It is more premium than the other two options and costs less than one of them.
